Terms of Service

1. Acceptance of Terms

By creating an account on VisaRunner ("the Platform", "the Service") operated at visarunner.io, you ("Operator", "you") agree to be bound by these Terms of Service and our Privacy Policy. If you do not agree to these terms, you may not use the Service. These terms constitute a legally binding agreement between you and VisaRunner.

If you are accepting these terms on behalf of a company or other legal entity, you represent that you have the authority to bind that entity to these terms.

2. Service Description

VisaRunner is a SaaS booking and client management platform designed for visa run operators across Southeast Asia. The Service includes:

A Telegram bot for automated client booking collection (supporting English, Russian, Vietnamese)
A web dashboard for managing bookings, clients, and schedules
Automated reminder notifications sent to clients before departures
CSV export of booking data for operational use
Pro features: routes analytics, broadcast messaging, custom bot greetings

We reserve the right to modify, add, or remove features with reasonable notice. Material changes that reduce core functionality will be communicated at least 14 days in advance.

3. Accounts and Registration

You must provide accurate and complete information when registering. You are responsible for:

Maintaining the security and confidentiality of your login credentials
All activity that occurs under your account
Notifying us immediately at support@visarunner.io of any unauthorized use

Each account may only be used by one Operator. Sharing accounts or using the platform to provide sub-accounts to third parties without our written consent is prohibited.

4. Subscriptions and Billing

4.1 Plans

The Service is offered under the following subscription plans:

Solo — up to 100 bookings per calendar month
Pro — up to 300 bookings per calendar month, includes Pro features
Agency — unlimited bookings, custom features, contact Sales

4.2 Billing cycles

Subscriptions are available on monthly or annual billing cycles. Prices are listed in USD and are subject to change. Annual plans are billed in full at the start of each billing year. All payments are processed by Lemon Squeezy; we do not store payment card data.

4.3 Auto-renewal

Subscriptions renew automatically at the end of each billing period unless cancelled. You will receive a renewal reminder by email at least 7 days before the charge date. You can cancel auto-renewal at any time from your billing settings.

4.4 Free trial

New accounts on the Pro plan receive a 14-day free trial. No credit card is required to start. At the end of the trial period, the account is automatically downgraded to the Solo plan unless a paid subscription is purchased.

4.5 Refund policy

No refunds are issued for partially used billing periods. Exception: if you request a refund within 48 hours of your first charge on a new paid subscription, we will issue a full pro-rata refund. To request a refund, email support@visarunner.io with your account email and reason.

4.6 Overages

If your booking volume exceeds your plan limit in a given month, new bookings will continue to be accepted but you will be notified to upgrade. Operators may also purchase additional booking capacity from the billing page.

5. Cancellation

You may cancel your subscription at any time from your billing settings or by contacting support. Upon cancellation:

You retain full access to paid features until the end of the current billing period
No further charges will be made after cancellation
Your account is downgraded to the Solo free tier at period end
Your data is retained for 90 days after downgrade, giving you time to export or reactivate

6. Acceptable Use

You agree not to use the Service to:

Facilitate or promote illegal activities, including illegal border crossings or immigration fraud
Send unsolicited commercial messages (spam) to clients or third parties
Create false or fraudulent bookings
Reverse-engineer, decompile, or attempt to extract the source code of the platform
Use the platform to build a competing service
Interfere with or disrupt the platform's infrastructure or other users' access
Upload or transmit malware, viruses, or malicious code
Violate any applicable laws, regulations, or third-party rights

We reserve the right to suspend or terminate accounts that violate these provisions without prior notice or refund.

7. Your Responsibilities Regarding Client Data

As an Operator, you are the data controller for the personal data your clients submit through your booking bot. You are responsible for:

Informing your clients how their data is collected and used
Having a lawful basis for collecting and processing client personal data
Complying with applicable data protection laws in your jurisdiction
Responding to client data access or deletion requests

VisaRunner processes client data on your behalf as a data processor. We do not use your clients' data for any purpose other than providing the Service to you.

8. Intellectual Property

All rights in the VisaRunner platform, including software, design, trademarks, and content, remain the exclusive property of VisaRunner. Your subscription grants you a limited, non-exclusive, non-transferable right to use the Service during the subscription period.

You retain full ownership of the data you and your clients upload to the platform. You grant us a limited licence to process that data solely to provide the Service.

9. Availability and Uptime

We aim for high availability but do not guarantee uninterrupted, error-free access to the Service. Scheduled maintenance will be communicated in advance where possible. We are not liable for losses arising from temporary unavailability due to maintenance, infrastructure failures, or circumstances beyond our control.

10. Limitation of Liability

To the maximum extent permitted by applicable law, VisaRunner shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including but not limited to loss of profits, revenue, data, or business opportunities, arising out of or related to your use of the Service.

Our total cumulative liability to you for any claims arising from your use of the Service shall not exceed the total amount you paid us in the three (3) months preceding the event giving rise to the claim.

11. Indemnification

You agree to indemnify, defend, and hold harmless VisaRunner and its officers, employees, and agents from and against any claims, liabilities, damages, and expenses (including legal fees) arising from your use of the Service, your violation of these Terms, or your violation of any third-party rights.

12. Termination

Either party may terminate the agreement at any time. We may suspend or terminate your account immediately, without notice or refund, if you materially breach these Terms. Upon termination:

Your access to the Service ceases immediately
You may request an export of your booking data within 30 days
After 30 days, your data will be permanently deleted

13. Changes to These Terms

We may update these Terms from time to time to reflect changes in the Service, applicable law, or business practices. Material changes will be communicated by email and/or dashboard notice at least 14 days before taking effect. Continued use of the Service after that date constitutes acceptance of the updated Terms.
